Travel CRM for tour operators in India: what each one actually publishes
Of the six products an Indian tour operator usually shortlists as a travel CRM, only two publish a price you can read without filling in a form: Tutterfly and Zoho. Sembark, TravoCRM, TRAVCRM and helloGTX's higher tiers are quote-only. This page sets out what each one is for, what it publishes, and one thing to settle before you shortlist at all, which is whether you need itinerary and costing software or whether your actual problem is enquiries turning into paid departures.
"Travel CRM" in India covers two different products that share a name. One is back-office tour operations: itineraries, costings, supplier ledgers, vouchers. The other is sales: leads, follow-ups, conversion, money collected. Most operators shopping for the first discover their real pain was the second, and the two are priced and sold completely differently. A search for a CRM for a travel agency and a search for a CRM for a tour operator land on the same six vendors, but the two buyers want opposite halves of the product.
What each product publishes
All read on 19 September 2026, from each vendor's own pricing page.
| Product | Published price | What it is |
|---|---|---|
| Sembark | Not published. The pricing page is a three-step quote form. Its FAQ states a mandatory one-time setup fee, per-user billing, and that the subscription is based on access rather than usage. | Itinerary builder with costing and supplier contracting, plus lead management. WhatsApp is a separate add-on called Notify. |
| Tutterfly | 800 / 1,200 / 1,800 a month list, discounted to 700 / 1,000 / 1,575. The page shows no currency symbol at all, so confirm it is rupees before quoting it. | Lead CRM first, with an itinerary builder in every tier. WhatsApp integration is First Class only, the top tier. |
| TravoCRM | Not published. One plan card reading Get Pricing, with every row of the comparison table set to Custom or Unlimited. | Itinerary and quotation software with CRM attached, Pune-based. |
| TRAVCRM by DeBox Global | Not published. Sold as vertical editions, inbound, MICE, domestic and others, each behind a lead form. | Back-office tour operations: quotation formats, cost sheets, vouchers, movement charts, FIT and GIT. |
| helloGTX | Startup from $390.00 a year for up to 2 users. Professional is Custom. No rupee price appears on the page. | Lead management and basic CRM at Startup, with a B2B portal, contracts and agent ledgers at Professional. Explicitly not per-user billing. |
| Zoho CRM | ₹800, ₹1,400, ₹2,400 and ₹2,600 per user per month on annual billing for Standard, Professional, Enterprise and Ultimate, plus local taxes. Free for 3 users. | General-purpose CRM, not travel-specific. Nothing in it knows what a fixed departure is until you build it. |
Four of the six will not tell you the price without a call. That is normal for this segment and it is not evidence of anything sinister, but it does mean a shortlist is four sales conversations before you can compare anything, and that you will not know whether your quote is the usual one.
Meta Business Agent changes the shape of this question
Meta announced Meta Business Agent on 3 June 2026 and publishes developer documentation for it. It is free to activate and it integrates third-party systems as custom connectors, which means the messaging layer that these CRMs each rebuild is becoming something Meta supplies.
The phrase is being used loosely in this market, so be precise about it. Meta publishes no travel use case and "Meta Business Agent for travel CRM" is not a Meta term. Paying a premium for WhatsApp connectivity inside a CRM still looks like a worse bet in 2027 than paying for whatever the CRM does that Meta will not.
How operators do this today
| How it works today | Where it breaks | What Thrivia does instead |
|---|---|---|
| Enquiries land on Instagram, WhatsApp and the phone, and get copied into a CRM by hand. | The copying is the first thing dropped in a busy week, so the CRM is always a few days behind the truth. | The enquiry becomes a lead on the trip and the departure it was about, and stays attached to the booking it eventually becomes. |
| The CRM tracks the lead. A separate sheet tracks who paid what. | Two systems disagree, and the one that matters at 11pm is the one with the money in it. | The deposit, the balance owing and the seat held are properties of the same booking, so there is nothing to reconcile. |
| Follow-up is a task list somebody works through. | It works until the week you have two departures and a group enquiry, which is the week it stops working. | A campaign is up to ten timed steps against a filtered slice of your own leads, sent inside a window you set on Meta-approved templates. |
| You need to build a costed itinerary from contracted supplier rates and send a priced proposal. | Nothing breaks. This is a real job and it is exactly what Sembark, TravoCRM and TRAVCRM are built for. | Thrivia has no itinerary builder, no supplier contracting and no costing engine. If you build costed proposals you will keep whatever you use for that. |
| You need the software in rupees, priced publicly, with no setup fee to negotiate. | Two of the six publish a price, and one of those publishes it without a currency symbol. | Thrivia's pricing is published, and collection is either free in manual mode or 4.9% inclusive of GST when the payment gateway collects. |
How to shortlist in one afternoon
- Decide which half you are buying. Write down the last five things that cost you money. If they are mispriced itineraries, buy operations software. If they are enquiries that went quiet and balances nobody chased, buy sales software.
- Ask every vendor for the WhatsApp answer in one sentence: official Business API on a number you own, or something else.
- Ask for the total first-year cost including setup, in rupees, in writing. Sembark's own FAQ confirms the setup fee is mandatory, so it belongs in the comparison.
- Ask what happens to your data if you leave, before you import three years of enquiries.
- Run one real departure through the trial before signing an annual term.
Common questions
What is the best travel CRM in India?
It depends which job you are buying. For itinerary building with supplier costing, Sembark, TravoCRM and TRAVCRM by DeBox Global are the established Indian options, none of which publishes a price. For lead management with an itinerary builder attached, Tutterfly publishes plan prices and helloGTX publishes a Startup tier at $390 a year. For general-purpose CRM, Zoho publishes ₹800 to ₹2,600 per user per month in India.
How much does a travel CRM cost in India?
Only two of the six products checked on 19 September 2026 publish a price. Tutterfly shows 700, 1,000 and 1,575 a month for its three tiers, without a currency symbol on the page. Zoho CRM publishes ₹800, ₹1,400, ₹2,400 and ₹2,600 per user per month on annual billing, plus local taxes. Sembark, TravoCRM and TRAVCRM are quote-only, and Sembark's FAQ confirms a mandatory one-time setup fee whose amount it does not publish.
Is Thrivia a travel CRM?
Only in the sales sense. Thrivia holds leads, follow-up campaigns, bookings, deposits and balances. It has no itinerary builder, no supplier contracting, no cost sheets and no markup engine, so it is not a replacement for Sembark, TravoCRM or TRAVCRM if your work is building and costing itineraries.
Do these travel CRMs support WhatsApp Business API?
None of Sembark, Tutterfly, TravoCRM or helloGTX uses the phrase WhatsApp Business API on the pages checked on 19 September 2026. They describe WhatsApp support in looser terms, and Tutterfly restricts WhatsApp integration to its top tier. Ask each vendor whether the connection is the official Business API before assuming it is.
Should I just use Zoho CRM?
It is the cheapest published option per user and the most configurable, and it knows nothing about travel until you teach it. Fixed departures, per-batch capacity, deposits with balances and supplier costing are all work you or an implementation partner will do. That is a fair trade for some operators and an expensive detour for others.
